Patient records & medical history
Create and manage patient records — demographics, contact details, structured medical history, allergies and medications.
Every person your clinic treats has a patient record holding their demographics, contact details, medical and dental history, allergies, current medications, insurance details and emergency contacts. Each patient gets a unique patient code (MRN) for quick lookup.
Adding a patient
From Patients, choose New Patient and enter their details:
- Name, date of birth and gender.
- Contact details. Adult patients need a phone number — it's the clinic's main way to avoid duplicate records. Children under 18 can be added without a phone only if they belong to a family, which provides the contact channel.
- Optionally add them to a family, or create them as a standalone patient.
- An emergency contact.
CuspFlow automatically works out the age group from the date of birth.
Finding a patient
Search is instant. Type any part of a name, phone, email or patient code and matching patients appear as you type.
Medical history
Medical history is kept as structured records, not a single free-text note. Each entry is one of four types — Medical, Dental, Allergy or Medication — and is flagged as ongoing or resolved. That makes it easy to see at a glance what a patient is allergic to or currently taking, right when it matters.
What else lives on the profile
A patient's profile also gathers, in tabs:
- Their appointment history — every appointment they've ever had.
- Their treatment plans — one per visit, kept permanently.
- Their payment history and outstanding balance.
- Orthodontic cases, if any (see Orthodontics tracking).
You can also print or export a patient's full record when needed.
Next steps
- Book an appointment for the patient.
- Group related patients into a family.
