Check-in & the Waiting Room

Run the clinic's live operations board — track patients through Waiting, In Treatment, Billing and Discharged, with wait-time alerts and emergency prioritisation.

The Waiting Room is the clinic's live operations board. It shows every patient currently in the building, what stage of their visit they're in, how long they've been there, and which chair they're in. It updates in real time across every open screen.

The four stages

Each patient moves through four tracked stages:

  1. Waiting — checked in, not yet seen.
  2. In Treatment — seated in a chair, being treated.
  3. Billing — treatment done, at reception to pay.
  4. Discharged — paid and left.

Move patients between stages by dragging their card across the board, or using the status dropdown inside the treatment plan. CuspFlow records how long each patient spent in each stage, which feeds wait-time and clinic-flow reporting.

The patient card

Each card shows:

  • The patient's name and code.
  • A live elapsed-time ticker. Cards waiting over 30 minutes turn red as an alert.
  • The assigned chair, changeable right from the card.
  • An Open Plan button to jump into the treatment plan.
  • An emergency toggle.

Emergencies

By default the board is first-come-first-served, but any staff member can flag an emergency to push a patient to the top. Emergency cards are highlighted red.

The discharge gate

A patient can't be moved to Discharged until their bill is finalised. This stops patients leaving without a completed invoice. Finalise the invoice at checkout, and the patient can then be discharged.

Live across devices

The board is shared: a check-in or payment made on one device appears on every other open screen without refreshing, so the whole front desk stays in sync.
