Staff management & roles
Add staff, grant system logins, assign roles and set schedules — the HR profile and login are deliberately separate.
The HR module manages your workforce. It's built on a deliberate split between a person's HR profile and their login.
Staff records vs. logins
- A staff record is an HR profile — name, role, salary, qualifications. It can exist on its own.
- A user is a staff member who has also been granted a system login. Granting access sends an email invitation.
So a staff member can have a full HR record long before — or without — being given a login. Not everyone on the payroll needs to sign in.
Adding a staff member
From HR → Directory, add a person with their details and a role: Owner, Administrator, Finance, HR, Receptionist, Doctor, Nurse or Support Staff. Set their branch and remuneration (base salary, hourly rate, commission rate). Optionally grant a login, which emails them an invitation to set a password.
Each staff member's drawer has tabs for personal info, remuneration, qualifications, system access and documents.
Roles and custom permissions
A person's role controls what they can see and do. Where someone needs a little more, an Owner or Administrator can grant custom permission overrides under Settings → Staff Permissions. Only the Owner can change a staff member's role. See Roles & permissions for the full model.
Staff schedules
Set each person's weekly working hours per branch under HR → Staff Schedules. These hours drive appointment availability, so the booking form only offers slots when a doctor is actually working.
